Purchasing Agent 

 

Role Summary 

Our client is looking for a Purchasing Agent who will report to the Senior Director of Procurement and Planning. The Purchasing Agent will coordinate the daily and weekly purchasing of core ingredients, place purchasing orders, support pickup and delivery of orders, and returns or quality issues. They will collaborate with the Supply Chain team to manage projects and dates for the supplier approval program, track vendor performance, set up stocking agreements, and manage vendor relationships. The Purchasing Agent and the entire supply team will support and design the long-term strategy to build a direct and regenerative supply chain.

  • Vendor Management/Selection 25% 

  • Daily Operations Support 15% 

  • Purchasing & COGS Reduction 60% 

 

  • Manage the purchasing program for core categories; including sourcing new ingredients, building direct relationships with producers, building order guides, sending POs, reconciling received product 

  • The managing 3-way match against POs received goods, and invoices 

  • Coordinate with the receiving and warehouse teams for product deliveries and pickups 

  • Support the operations and production teams with product changes or shorts and same-day recovery 

  • Liaison between operations and suppliers around quality, service, or credit issues 

  • Create contingency plans to avoid supply interruption across the system and escalate issues appropriately 

  • Establish buying, inventory management, and proprietary stocking processes with suppliers and distributors 

  • Manage Vendor Master List 

  • Manage data entry and data organization for the company’s Supplier Approval Program; including but not limited to request COIs, organizing spec sheets, updating spec sheets for the receiving team, contacting vendors when a document expires 

  • Update our suppliers with weekly and monthly forecasts 

  • Track vendor performance and build exceptional relationships with supplier network built on accountability and service 

  • Special projects and other duties as assigned 

Skills & Requirements 

  • Minimum of 3 years of Supply Chain Management Experience in Food and Beverage

  • Bachelor’s degree preferred 

  • Advanced proficiency in Microsoft Excel 

  • Highly detail-oriented 

  • Strong written and verbal communication skills 

  • Experience working with end-to-end fresh good supply chain logistics preferred 

  • Fully self-sufficient; self-starter with an appropriate mix of confidence and knowledge to know what to do next without being directed 

  • Demonstrated ability to work in a flexible, adaptable work environment 

  • Consistently exceptional communication skills, both written and verbal, with solid diplomacy and collaboration skills 

  • Process-oriented with a sense of urgency and drive to manage projects to completion
